Vibe is an exciting new way in Arthur to hold asynchronous collaborations for conducting alignments, gathering feedback and collecting updates on ongoing projects. It has an advanced AI & analytics powered reporting system, consolidating user inputs into meaningful insights and then giving recommendations. A data analyst bot is also present along with the reports to answer any specific follow up questions you might have related to your Vibe collaboration. The three types of insights that can be gained from each Vibe type are further explained below.
- Project Updates: Covers all the topics discussed by the participants in their updates, and summarizes their details.
- Async Alignments: Includes a detailed agreements, disagreements, and mixed responses analysis along with providing the most critical insights and highlights.
- Feedbacks: Features clustering of the feedback gathered into positives, negatives and mixed categories. What is more, you get a summary of the critical insights, prioritized feedback points and suggestions given from the participants.
1.1 - How to create & complete an Arthur Vibe:
To start, visit the "Vibe" page after logging onto the Arthur Portal and selecting the relevant org/team in which you want to create a vibe (the option to change an org/team shows if you're in multiple teams of an org)
Your ongoing, past due date, and personally created Vibes in this org/team, will show here. At the top right corner of the page, click on the option called "Create a Vibe" to continue. The following page will appear.
On this page, you can apply the relevant settings you want for your Vibe including giving it a name. Moreover, as already mentioned earlier, there are three types of Vibe categories available to choose from.
As a next step, give a name to your VIBE and write a detailed prompt for the assistant. This prompt can include the topic, any context or explanation of the topic, and even specifying the tone you want the AI bot to use. The more elaborate the prompt the better. In case you'd like to predetermine the questions included in the Vibe, you can add those under "Questions to ask" section (you can also generate questions automatically via the AI using the prompt you've provided). A preview of these questions can be sent in the vibe invitation Email to the participants by check marking "Send questions to participants in advance". A specific prompt and its accompanying questions, can also be saved for later use by check marking "Save the Prompt & Questions".
Proceed to choose specific assistant settings. Note that the settings applied here will be used by the assistant during the Vibe. For instance, if you set the conversation mode to "Precise", it will exactly stick to the questions you've provided and be straightforward, whereas, in an "Adaptive" vibe, the AI can introduce adaptive questions as the conversation proceeds with a vibe participant. Under "Report Settings", you can select who views the vibe results/report eventually, and the language of the generated report (four languages are available as of now namely English, German, Spanish and French). Kindly note that the language of the report can also be changed later when viewing the report itself (further explained in the next section of the article). Also note that the participants will have a separate option when they start the vibe, to have the vibe conversation in either of the four languages that are mentioned above. Furthermore, anonymous mode can be enabled for a vibe to encourage more candid and honest feedback. Click on "Invite Participants" to proceed.
Search any of the existing Arthur user by name or by their Arthur account Email address, to make them a participant of the Vibe and send them an Email invite. You can also send invitations to non Arthur users via their Email, Vibe facilitates guest mode. Choose the start and end dates for the Vibe. During this time, the invited participants can complete the Vibe meeting anytime. Minimum time allowed is one day.
Note: A user has to invite themselves if they want to take part in a Vibe that they have created. Furthermore, Arthur sends gentle automated email reminders at key stages before the deadline. It's an effortless way to ensure you gather all the valuable input you need.
If the invite is accepted via Email, they will be directed to the portal Vibe launch screen (shown below) directly, otherwise, one can also simply login to the Arthur portal and visit the Vibe page to complete any of their open Vibes.
Once the participants click on the "Start Vibe" button, they will be redirected to the screen showing them to choose the language in which they want the bot to communicate with them during the vibe, and the desired voice over as below.
Click on "Start Vibe" again to land on the vibe to proceed with entering the vibe conversation.
Each participant can use speech to text or type in their communication with the assistant. With seamless UI, the interactive communication flow of the Vibe gives creativity and productivity a new dimension. When the purple bar on the top completes, a participant's take on the Vibe topic is complete! All these inputs are then compiled into meaningful insights and recommendations.
1.2 - How to edit or view the results of my Vibe:
To edit any Vibe that you created, simply hover over it under "My Vibes" section on the main "Vibe" page to view the options to not only edit, but also delete and refresh the Vibe. You can also simply click on this Vibe to land on the Vibe details page (shown below) to edit it (every setting of the Vibe can be edited here besides its name and type. Consequently, you can invite more users and update the end time for a vibe anytime). The participants of the vibe, including the status of their vibe (whether its completed or pending) also shows on this page.
In the above screenshot, we clicked on a Vibe that's already completed (past due date) and thus the Edit Vibe option isn't available, but the option to view the report is. The report is automatically generated (with a notification Email to the Vibe creator) after the end date has passed. If you would like to view the report before a Vibe has completed, select a Vibe that's "In Progress", and click on "Generate Report" to have the report available comprising of the insights only from those participants that have completed the Vibe until that point. The report (depending on the type of the Vibe you've selected), will look somewhat similar to the image below.
On the vibe report page, you'll have the option to export pdf of the vibe report, change the language of the report, share it with other people, and generate the transcripts of individual responses, along with the actual report insights.
